The HAE International team continues to meet around the clock and carefully monitor the developing global situation regarding the COVID-19 (novel coronavirus), which now includes the declaration of a pandemic by the World Health Organization. We understand and share the concerns we are hearing from conference participants regarding travel and public gatherings.
HAEi fully understands the seriousness of the current situation. That is why, starting today, any conference participant who wishes to cancel attending the 2020 HAE Global Conference, may do so and receive a full refund of their registration fee.
What conference participants need to know should they choose to cancel:
Those who received a travel grant (flight tickets paid by HAEi)
HAEi will cancel their itinerary (air travel) at no cost for the participant. However, HAEi cannot refund purchases for upgrades, date changes or other services. HAEi will cancel their full hotel reservation booked through the conference website, and will calculate and refund the total amount of the registration fees paid, which may include the Jakobusweg Walk, Sightseeing Tour of Frankfurt, and any additional room nights purchased through HAEi’s registration system.
Those who purchased their own flight tickets
Individuals will need to reach out to their travel agency or airline for cancellation policies and procedures. HAEi cannot reimburse any individually purchased flight ticket nor any other travel related costs (passports, visas, additional room nights bought outside HAEi’s registration system etc.). HAEi will cancel their full hotel reservation booked through the conference website, and will calculate and refund the total amount of the registration fees paid, which may include the Jakobusweg Walk, Sightseeing Tour of Frankfurt, and any additional room nights purchased through HAEi’s registration system.
To proceed with a cancellation
Please send a request via email to COVIDfirstname.lastname@example.org that includes the four-digit order/registration number (originally sent to your email with your conference registration confirmation – see below screenshot) along with the full names of all participants who are canceling. We kindly ask for your patience as we work through this challenging situation. You will be contacted by a HAEi team member within several days after receiving your cancellation request.
